Most of what goes wrong on a move was decided weeks before the truck came.

Works with people moving into Florida from another state, where the distance means one company loads and a different set of rules applies than on a local move. What it costs and when it arrives are settled in writing before anything is packed, and the things that most often go wrong - a delivery window nobody explained, a building that will not let a truck in, a garage full of what the mover is not allowed to carry - are dealt with while there is still time to deal with them.

How a move gets organizedIn this order

1

The walk-through

Every room, the garage, the attic and the shed. What gets estimated from a phone call is what gets re-priced on the day.

2

The date, and the window

Long distance delivery is a range, not a day. You are told the real range up front.

3

What you are not taking

Decided early, because it changes the estimate and it is the part people leave until last.

4

The building's rules

Called and confirmed at both ends, in writing, before the week of the move.

5

Loading day

An inventory you can read, and a copy in your hand before the doors close.

6

Delivery and what is missing

Checked against the inventory while the crew is still there, which is the only time it is easy.

Alex Mercer

Has moved households into Florida in July and in October, which are two different jobs. Knows which buildings on the coast have loading rules and which counties slow down in storm season.

The person who quotes the move is the person you call when the truck is late. Nothing is handed to a dispatcher you have never spoken to.

Getting your things to Florida is the easy half.

What we doSix things, settled before the truck comes

The estimate, in writing

Done off a walk-through of what you actually own, not a room count over the telephone. You are told plainly which kind of estimate you are being given and what can still change it.

Long distance into Florida

A move across state lines is regulated differently from a move across town, and the paperwork, the timing and the liability are not the same. That is explained before you sign rather than after.

What insurance really covers

The cover included by default is not what most people assume it is. What is covered, what is not, and what a claim actually involves.

Things that cannot go on the truck

Propane, paint, ammunition, some garden chemicals. Found before the day, not on it.

Storage in between

When the closing date and the move date do not meet. Where it sits, who has access, and what it does to the delivery window.

Condominium and gated deliveries

Elevator reservations, certificates of insurance, delivery hours. Many Florida buildings require all three and will turn a truck away without them.

Who it is for

This suits people moving to Florida from another state, and anyone moving into a condominium or a gated community where the building has rules of its own. It suits a move with a gap between closing dates, somebody downsizing who is not sure what should come, and a household with a piano, a safe or a workshop in it. It suits anybody who has been given a number over the telephone and does not trust it.

Who it is not for

It does not suit somebody who wants the cheapest truck and will not read what the estimate excludes, a move that needs to load tomorrow, or office and commercial relocations, which are a different business.

What a move costs is answered after somebody has seen what you own - not from a room count over the telephone.

The words you will hearPlain meanings

Binding estimateA price for the move that is fixed once it is written, as long as what goes on the truck is what was walked through. Add a shed nobody mentioned and it changes.
Non-binding estimateA best guess of what the move will come to. The final figure is worked out from what actually went on the truck, so it can end higher or lower.
Bill of ladingThe contract for the move, and your receipt for everything on the truck. Read it before the doors close, and keep your copy.
InventoryThe numbered list of every item and box loaded, with its condition written down. It is what a claim is checked against, so it has to be one you can read.
ValuationHow much the mover is on the hook for if something is lost or damaged. The basic level included by default pays by the pound, not by what the item is worth.
Delivery windowThe range of days a long distance load can arrive in. It is a range because one truck carries more than one household.
Certificate of insuranceA paper from the mover's insurer that a condominium or gated community asks for before it lets the truck in. No paper, no truck.
ShuttleA smaller truck used when the big one cannot get to the door: a gated street, a low garage, a building with no loading dock. It adds a step, and it is found out before the day.
